Grants for travel abroad should be applied for within the framework of a project application. However, researchers may apply for separate travel grants for journeys abroad in the following exceptional cases:
- To present research results supported by FAS at international scientific conferences, congresses or symposia, in case the project grant does not fund travel costs.
- Doctoral students and newly graduated researchers may apply for travel grants to participate in international conferences, even if they are not supported by FAS, if their research lies within FAS’ areas of responsibility.
- As elected representative of Sweden in circumstances of great interest for Swedish research within FAS’ areas of responsibility.
- To plan international research collaboration, primarily applications for EU grants, within the areas of responsibility of FAS.
FAS normally grants flat rates to cover direct costs of conference journeys but not for salaries or per diems and not for presentations, translation, language editing or similar costs.
Financial contribution to more than one project member going to the same conference is as a rule not granted. Conference participants with no presentation of their own will not be funded.

Submitting an application
Travel grants can be applied for throughout the year but must be submitted at the latest three months before the date of departure. The registration date for applications submitted between 15 June and 15 August will be 15 August. Late applications cannot be guaranteed further consideration.
The application should be submitted electronically via eKlara, http://eklara.fas.se by the person who will travel. At the same time, a printed and signed hard copy should be posted to FAS, Box 2220, 103 15 Stockholm, Sweden. The hard copy should be signed by the applicant and by the department head or equivalent at the home institution of the applicant.
Applications that have not been received by FAS in a signed hard copy version will not be taken into consideration.
Processing
Travel grant applications are prepared by the FAS secretariat. Assessment criteria include:
- Qualifications of the applicant
- Relevance of the research in relation to FAS’ areas of responsibility.
- Forums where the research will be presented
Processing time is usually between six and eight weeks. Decisions are made by the Secretary-General.

To be able to submit an application via eKlara you need a user account. A person who has previously submitted an outline or application to FAS has a user account. To create a user account, go to För att skaffa användarkonto (To create a user account) on the start page.
Log into eKlara, go to Söka medel (Apply for grants). After having read the instructions on the page Söka medel (Apply for grants), go to the form Resa (Travel grant).
Ansökningsformuläret (Application form)
Sökande (Applicant)
The application should be written by the intended traveller. It should be written using the applicants’ eKlara account.
Projekttitel (Project title)
In the text field is already written Resebidrag: Leave this text and add a title in Swedish. The project title must not be longer that 250 characters including spaces. For journeys to conferences, fill in the official name of the conference, the place and date – nothing else. For other types of travel, fill in the purpose.
Söks hos FAS (Amount applied from FAS)
Fill in the amount you request from FAS and place it under the budgetary year during which the grant will be paid. The amounts should be written in Swedish crowns without any spaces or signs between the numbers. It should include surcharges for administration and office rental costs (see below under Budget).
Sammanfattning (Abstract)
Give a short description of the purpose of the journey and explain why you want to go. The abstract should be able to stand on its own, which is why you should make no references to other parts of the application.
The abstract may not exceed 2,000 characters including spaces.
Andra bidragsgivare (Other sources of funding)
Indicate here if you have received or applied for funding from any other source of funding for the stay abroad (including any salary you may receive abroad). Specified information should be filled into the appendix Budget.
Ekonomi (Budget)
Use the eKlara appendix template Ekonomi (available in Swedish as well as in English). Please follow the instructions available in eKlara guidelines regarding how to handle the appendix templates etc.
Specification of applied funding
Fill in travel costs according to the cheapest possible means of transportation, hotel costs (medium class) and conference fees. Deduct any other funding you may receive. Specify the applicable rate for administrative overhead and office rental costs.
If the institution is covered by the agreement between FAS and SUHF (for further information go to eKlara/Söka medel), the maximum rate for overhead and office rental costs is 35 percent. Projects at institutions whose rental costs are covered by the county council receive a flat rate of 18 percent. All other research institutions receive a rate of maximum 30 percent. It is the responsibility of the applicant to find out the applicable rate.
Please note that FAS normally grants a standard rate to cover direct costs related to the journey but not salaries, per diems or costs related to e.g. translation or language editing.
Andra bidragsgivare (Other sources of funding)
Fill in all funds that have been applied for or received by the project. Funding from private foundations, university and county council grants etc. should also be accounted for.
If funding has been applied for or received after submitting the application, this should be communicated to FAS.
Resan påbörjas/avslutas (Start and end of the journey)
Fill in planned dates for departure and return.
Beräknad tidpunkt för disputation (Estimated date for passing the thesis)
Applicable if you are a doctoral student. Fill in the date if you know. If not, fill in the semester or approximate time.
Resan avser (Purpose of travel)
If the purpose of the journey is to participate in a conference, respond to the yes/no questions by ticking the appropriate box. Any other travel purpose should be described briefly (as well as in the abstract section and the project description).
Konferensbidraget (Conference contribution)
Fill in the title of your abstract, the name of the main responsible person for your project, and if this research receives funding from FAS (enter the reference number) or has other external funding (enter the details).
Projektbeskrivning (Project description)
The appendix should be written using the eKlara appendix template Projektbeskrivning (Project description). Please follow the instructions available in Handledning för eKlara (eKlara guidelines) about how to handle the appendix templates etc.
The appendix may be maximum four A4 pages plus the letter of invitation.
Meritförteckning (CV)
The appendix should be written using the eKlara appendix template Meritförteckning (CV). Please follow the instructions available in Handledning för eKlara (eKlara guidelines) about how to handle the appendix templates etc.
The CV should include information about education, employment record, research publications and any previous research funding in your own name. Doctoral students should inform about the dates of registering as doctoral student, completed postdoctoral courses and copy a letter of recommendation from the supervisor (preferably in the form of an e-mail) into the document.
The CV may be maximum three A4 pages plus, if applicable, the letter of recommendation.
Submit and print the application in eKlara
When the form has been filled in and the appendices are in place, click on the button Skicka in (Submit). As a confirmation of receipt to FAS, a page will appear in eKlara indicating the FAS reference number of the application and instructions on how to print the hard copy that should be signed and posted to FAS.
