Instructions for “Publiceringsbidrag” (support for periodicals and publication grants)

The purpose of FAS’ publication grants is to support the dissemination of scientific information, e.g.  to groups outside of the scientific community, about research within FAS’  research areas of responsibility, in particular research supported by FAS.

Applications may cover the publication of Swedish or Scandinavian scientific journals, also if published in English. FAS may also fund informative publications about science in areas where FAS has a special coordinating responsibility (social research on alcohol, research into disability and handicap, international migration and ethnic relations, children and youth, and ageing and elderly). Publication support is granted for a maximum period of three years. To receive further funding, the applicant has to submit a new application for assessment.

FAS also supports the publication of monographs of high scientific quality. The grant can finance printing costs (the first 500 copies) and/or language editing (for international publications) if carried out by a publishing house or a scientific publication series. An agreement with the publishing house or equivalent is a prerequisite before submitting the application.

Grants can finance printing a doctoral thesis if it has been revised or a broader audience, but only after the Ph.D.

Submitting an application

It is possible to apply for publication grants throughout the year. The application should be submitted electronically via eKlara, http://eklara.fas.se . At the same time, a printed hard copy should be posted to FAS. The printed hard copy must be signed by the applicant/author and by the publishing house.

If the application is for a journal, six copies of the last printed issue should be attached to the signed hard copy of the application. Applications for support of monographs should be accompanied by two copies of the final version of the manuscript.

The consignment should be posted to FAS, Box 2220, 103 15 Stockholm, Sweden, or be delivered as company mail or by courier to FAS, Wallingatan 2, 111 60 Stockholm, Sweden.

Applications that have not been received in a signed hard copy version will not be taken into consideration by FAS.

Processing

Applications are assessed by FAS’ publication committee in collaboration with external experts. Assessments are based on e.g.:

  • Scientific quality
  • Relevance of the project in relation to FAS’ areas of responsibility
  • Readability and linguistic quality
  • News value
  • Expected dissemination effects
  • Costs

Processing usually lasts about four months. Decisions are taken by the FAS Secretary-General.

The eKlara work process is described in Handledning för eKlara (eKlara guidelines), which can be downloaded from the eKlara start page. The guidelines contain important information that is not repeated in the instruction.

To be able to submit an application via eKlara you need a user account. A person who has previously submitted an outline or application to FAS has a user account. To create a user account, go to För att skaffa användarkonto (To create a user account) on the start page.

Log into eKlara, go to Söka medel (Apply for grants). After having read the instructions on the page Söka medel (Apply for grants), go to the form Publicering (publications). 

Ansökningsformuläret (Application form)

Sökande (the applicant)
The applicant of a grant to publish a periodical should be the editor in chief or another person in charge of the on-going production of the periodical.
The applicant for a monograph grant should be the author.

Projekttitel (project title)
Periodical: fill in the title of the periodical and the applicable publication years
Monograph: fill in the title of the publication, the publishing house and the planned year of publication.

Projektets hemvist (Home institution of the project)
The registered home institution of the applicant will appear automatically in the form. If you wish to change this information, please mark the box Annan organisation (Other institution) and fill in the name of the organisational home in the appearing empty text field. N.B. The organisational home should be a legal person.

Söks hos FAS (Amount applied from FAS) 
Fill in the amount you request from FAS in Swedish crowns (SEK), without any spaces or signs between the numbers. If applicable, include administrative overhead and rental costs (förvaltnings- och lokalkostnadspåslag).

Sammanfattning (Abstract)
An application for a publication grants should include a short background and purpose, subject areas and target groups of the periodical, as well as the size of the edition and to which  target groups it will be distributed.

Applications concerning monographs should include a brief summary of the content, the number of pages, target group and how the publication will be distributed. Printing costs and/or language editing should also be included.

The abstract should be able to stand on its own, which is why you should make no references to other parts of the application. The purpose is to inform FAS’ evaluators and decision makers about the project. It is also important that laymen can understand the abstract.

The abstract may not exceed 2,000 characters including spaces.

Indicate here if you have received or applied funding for this purpose from any other source of funding. Specified information should be filled into the appendix Ekonomi (Budget).

Ekonomi (Budget)

The appendix should be written using the eKlara appendix template Ekonomi (available in Swedish as well as in English). Mall 1 (Template 1) should be used for funding of monographs and mall 2 (Template 2) for funding of periodicals.

Please follow the instructions available in Handledning för eKlara (eKlara guidelines) regarding how to handle the appendix templates etc.

In the form, please enter the applied amounts, quotations for printing, information about additional funding, as well as information about publishing houses and administration of funds. All amounts should be written in SEK.

Government institutions calculate their costs excluding VAT. In all other cases, FAS will only reimburse VAT that constitutes a real cost to the project.

If the institution is covered by the agreement between FAS and SUHF (for further information go to eKlara/söka medel), the maximum rate for administration costs is 35 percent. For projects at institutions where rental costs are covered by the county council, this surcharge is 18 percent. All other research institutions receive a surcharge of 30 percent. It is the responsibility of the applicants to find out the applicable rate.

If the grant is to be administered by a publishing house, an organisation or equivalent, administration costs should not be included in the application.

MONOGRAPHS – mall 1 (template 1)

Fill in the printing costs according to the financially most beneficial quotation (see below) and language editing costs if applicable (including social fees).

Tryckeriofferter (Printing quotations)
The calculation of printing costs should be based on quotations from three independent printing houses. The quotations should be for an edition of 500 copies. In order for FAS to have sufficient time for processing the application, the validity of the quotations should be at least three months.

Fill in the names of the printers and quoted price, excluding VAT. The quotations should, upon request, be sent to FAS.

Andra bidragsgivare (Other sources of funding)
Fill in all funds that have been applied for or granted for the purpose of this publication. Funding from private foundations, university and county council grants etc. should also be accounted for. Information about any funding applied for or received after submitting the application should be communicated to FAS.

Övriga upplysningar (Other information)
Fill in information about the publisher (publishing house or equivalent) and information about the financial administration of the grant, if this is not taken care of by the organisation of the applicant. N.B. the financial administration must be carried out by a legal person.

Indicate if the research has received previous support from FAS. If this is the case, please fill in the FAS reference number(s) of the grant(s).

If the application concerns the publication of a doctoral thesis, reworked for a broader audience, please indicate the date of obtaining your doctoral degree.

Arbetet påbörjas/avslutas (Work begins/ends) – indicates the dates you plan to make use of the grant.

PERIODICALS – mall 2 (template 2)

Show a debit and credit estimate of the periodical divided into budgetary years. The estimate should clearly indicate the amount applied from FAS. Printing costs should be based on the financially most beneficial quotation (see below).

Project description

The appendix should be written using the eKlara appendix template Projektbeskrivning (project description). Please follow the instructions available in eKlara guidelines about how to handle the appendix templates etc.

PERIODICALS
Describe the background, purpose, subject areas or discipline of the periodical, as well as the editorial policy. Indicate the main target groups of the periodical and how the edition is distributed among those.

Describe the persons on the editorial board of the periodical and the editorial committee; briefly describe their qualifications for the task. Name participating authors and how the manuscripts will be assessed. If the application concerns periodicals providing scientific information, please indicate the size of the content share dedicated to research material.

Comment on and justify the debit and credit calculation given in the budget appendix. Indicate the number of issues per year and number of pages per issue, the subscription price, member price if applicable, and the price for single copies.

If the periodical has received previous FAS funding, please provide a brief description of the earlier activities.

MONOGRAPHS
If the application concerns the publication of a monograph, the applicant should supply a summary of the manuscript in the project description.

Submit and print the application in eKlara

When the form has been filled in and the appendices are in place, click on the button Skicka in (submit). As a confirmation of receipt to FAS, a page will appear in eKlara indicating the FAS registration number of the application and instructions on how to print the hard copy that should be signed and posted to FAS.
